WebFX's talent team has run approximately 300 candidate screenings through Fireflies Voice Agents, saving roughly 200 hours of recruiter time and cutting the wait to zero for candidates who want to move fast. And it's not just about speed: over the past year, 1 in 3 of everyone WebFX actually hired got there by talking to the AI first, not a recruiter.

THE CHALLENGE

WebFX's recruiting team was drowning in a good problem: too many candidates, not enough hours in the day. Screening every applicant meant live phone interviews, one recruiter and one candidate at a time, and with a team fielding “hundreds and hundreds” of applicants a year, first-round slots were booking out nearly three weeks.

That delay had a real cost. Strong candidates who were ready to talk right away were being asked to wait, and by the time their slot came up, some had already accepted offers elsewhere.

THE SOLUTION

WebFX's talent team built a Screening Interview Voice Agent and gave candidates a choice, right in the invitation email: talk to the AI agent immediately, or book time with a live recruiter a couple of weeks out.

How a screening moves from call to decision

  1. A candidate who wants speed clicks the link in their invite and starts the screening call right away, without any scheduling.
  2. The Voice Agent runs the full interview on its own and asks WebFX's actual screening questions.
  3. Fireflies turns the finished call into a transcript, a summary, and WebFX's own entry-level scorecard automatically.
  4. The finished session notifies Laura by email, and the summary is shared to their ATS. She tags a teammate to review it.
  5. The teammate reads the summary alongside the scorecard and decides who moves forward. Because scorecard accuracy for softer signals like attitude is still maturing, a person always makes the final call instead of the system auto-advancing candidates.

The result is a screening process candidates can opt into on their own terms, and one that hands WebFX's recruiters a completed summary, transcript, and assessment before they ever join the conversation.

THE RESULTS

From January through July 2026, WebFX ran approximately 300 candidate screens through Voice Agents (277, precisely), roughly 40% of everyone offered the choice, with the rest still opting for a live conversation. Every one of those screens is a call, previously about 45 minutes in total (a 30-minute conversation plus prep and write-up), that a recruiter no longer had to sit through in real time. At that rate, WebFX has saved on the order of 200 hours of recruiter time.

  • Real hires: of everyone WebFX hired in the last 6 months, about 1 in 3 (31%) started their interview process with a Voice Agent screening instead of a recruiter.
  • A wider funnel: “We've been able to use that [time] to consider a broader range of candidates,” rather than capping how many people the team could realistically screen.
  • No candidates lost to the calendar: candidates who want to move fast no longer wait weeks for a slot, and no longer walk into another company's offer while they wait.
